1. Who we are
This policy covers beaconsouthbeach.com and the Beacon South Beach hotel at 720 Ocean Drive, Miami Beach, Florida 33139. In this policy, “Beacon”, “we”, “us” and “our” mean Beacon South Beach, the operator of the hotel and this website, which is responsible for the personal information described here.
If you booked through a travel agent or an online travel site such as Expedia or Booking.com, that company has its own privacy policy covering what it collected from you. This policy covers what we collect and what that company passes on to us to arrange your stay.
2. What we collect
Information you give us
- Reservations. Name, email address, phone number, arrival and departure dates, number and ages of guests, room preferences, payment card details, and any requests or accessibility needs you tell us about.
- Enquiries. Anything you send us by phone or email, or through the contact and group booking forms on this site: your name, email, phone number, dates, group size, occasion, budget, company, country and state, and your message.
- Mailing list. Your email address, if you choose to give it.
- At the hotel. A government-issued photo ID and a payment card at check-in, the refundable damage deposit taken on that card, vehicle details if you use valet parking, and details of charges during your stay. Common areas of the hotel may be covered by security cameras for the safety of guests and staff.
Information collected automatically
- Usage data through Google Analytics 4, where you have allowed it (see section 5): pages viewed, approximate location derived from your IP address, device and browser type, referring site, and how you move through the site.
- Booking intent. We record when a visitor clicks a booking link, so we can tell how many people reach the booking step. This is counted, not tied to your name.
- Form records. When you send a form, we store your IP address and browser type with the message, to protect the forms from spam and abuse.
- Server records. Standard web server logs kept by our hosting provider, Hostinger, which record IP addresses, pages requested, and the time of each request.
3. How we use it
- To take, confirm, and honour your reservation, and to contact you about your stay.
- To take payment, hold a deposit or guarantee, and settle charges after check-out.
- To answer your questions, prepare group quotes, and handle complaints.
- To meet legal obligations: tax records, guest registration, and health and safety rules.
- To keep guests, staff, and the property safe, and to prevent fraud and misuse of this website.
- To understand how the website is used, so we can improve it.
- To send you offers, only if you asked to receive them. Every email has an unsubscribe link.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
4. Who we share it with
These are the service providers that handle data for this website and our reservations. Each has its own privacy policy.
| Who | What for | What reaches them |
|---|---|---|
| Sabre Hospitality (SynXis) | Our reservation system, which takes and stores your booking | Everything you enter to make a reservation |
| Selfbook | The booking and payment window that opens on this site | Booking details and payment card data, handled on their systems |
| Hostinger | Website hosting, our database, and email delivery | Form submissions, server logs, and the emails we send and receive |
| Google Analytics 4 | Website usage measurement | Usage data and a cookie-based identifier, only where analytics is allowed |
| Google Maps | The maps on our location and contact sections | Your IP address and Google’s own cookies, once the map loads |
| UserWay | The accessibility widget | Your widget settings and basic device information |
We also share information where we have to: with our professional advisers, with payment providers and card issuers to process payments and resolve chargebacks, with a buyer or successor if the hotel is sold, and with law enforcement or regulators where the law requires it.
5. Cookies and tracking
Cookies are small files a site stores on your device. This site uses:
- Strictly necessary: needed for the site and the booking window to work, and to remember your cookie choice.
- Analytics: Google Analytics, to count visits and see which pages are used.
Your choice. If you are visiting from the European Union, the United Kingdom, or Switzerland, analytics cookies stay off until you accept them. Everywhere else, analytics is on by default and you can turn it off at any time. Use the Cookie settings link at the bottom of every page to change your choice.
Global Privacy Control. If your browser sends a Global Privacy Control signal, we treat it as an opt-out and analytics stays off.
You can also block or delete cookies in your browser settings. Blocking strictly necessary cookies may stop the booking window from working. You can opt out of Google Analytics across all sites using Google’s opt-out add-on.
6. Your choices and rights
Wherever you live, you can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct anything that is wrong;
- delete information we no longer need to keep;
- stop using your information for marketing, or for analytics.
Guests in the EU, UK, and Switzerland also have the right to object to or restrict our use of their information, to receive it in a portable format, to withdraw consent at any time, and to complain to their local data protection authority.
To make a request, email [email protected] with the subject “Privacy request”, or call us. We may need to verify your identity before acting on a request. We respond within 30 days. If we cannot do what you ask, for example because the law requires us to keep a record, we will tell you why. We will not treat you differently for exercising these rights.
7. How long we keep it
| Information | How long |
|---|---|
| Reservation, payment, and tax records | 7 years after your stay, as tax and accounting law requires |
| Contact and group enquiries | 2 years after our last reply, unless they become a booking |
| Mailing list | Until you unsubscribe |
| Security camera footage | 30 days, unless needed to investigate an incident |
| Web server logs | Up to 90 days |
| Google Analytics data | 14 months |
8. Security
This site is served over an encrypted (HTTPS) connection. Payment card details are entered into our payment provider’s window and processed on their PCI DSS compliant systems; card numbers are never stored on this website. Form submissions are kept in a password-protected database that only authorised hotel staff can access.
No system is completely secure. If a breach affects your personal information, we will notify you as required by law, including under Florida’s data breach notification law.
9. International guests
The hotel and our service providers are based in the United States, so information you give us is processed there. Where we rely on providers to transfer data from Europe, they use recognised safeguards such as the EU Standard Contractual Clauses.
10. Children
This website is for adults booking accommodation; you must be 21 or older to check in. We do not knowingly collect information directly from children under 13. Children’s details given to us as part of a family booking are used only to arrange that stay.
11. Changes to this policy
If we change this policy we will update the date at the top of this page. Significant changes will be highlighted on the site.
